Customer Lifecycle pipeline
AutoSync manages a HighLevel pipeline called ⇌ Customer Lifecycle that tracks every contact's stage automatically. It's a live mirror of what the client is actually enrolled in — you never have to drag cards to keep it accurate.
The 9 stages
| Stage | Who's in it |
|---|---|
| Lead | A new contact from one of your configured lead-qualifying signals (form, survey, paid-ad click, tag, new contact) — no booking or purchase yet. |
| 1st Appt Booked | Booked their first appointment or class, hasn't attended yet. |
| 1st Appt Showed | Attended that first visit. |
| Intro / Trial | Active intro offer or trial pricing option. |
| 1st Purchase | Bought something real that isn't a membership — a single session, a pack, a one-off. |
| Member | Active membership or contract — outranks everything above. |
| At Risk | An active intro or package within the threshold: ≤2 days or ≤2 visits remaining. |
| Expired | A non-membership enrollment (intro / pack / one-off) ran out. |
| Terminated | A membership or contract ended, for any reason. |
How the stage is chosen
- The three early stages come from events: your configured lead-qualifying signals create the card, and bookings move it through 1st Appt Booked / Showed. When one event implies several steps (a walk-in who books and completes in one go), the card jumps straight to the farthest stage.
- From Intro/Trial onward the stage follows the client's enrollments, with precedence Member > 1st Purchase > Intro/Trial — the highest-tier active enrollment wins.
- Cards only move forward through the stage order. At Risk is the one exception — it can apply (and clear) at any time as an overlay.
- With nothing active, the card lands in Terminated (if the last thing to end was a membership / contract) or Expired (otherwise). A new purchase brings the contact forward again.
Why cards move on their own
The ⇌ Customer Lifecycle pipeline is owned by AutoSync. If you hand-drag a card between its
stages, the next purchase, visit, or daily scan will move it back to the stage the client's
enrollment implies. If you want a sales pipeline with stages you control, create your own pipeline
in HighLevel alongside this one — AutoSync leaves your pipelines untouched.
Lifecycle tags — retired
AutoSync used to also stamp a stage tag on each contact (⇌ member,
⇌ at-risk, and so on). Those were retired in August 2026 — the tag was a duplicate of
the pipeline stage, and two copies of the same fact can drift apart. The stage on the card is the
signal; workflows can trigger on stage changes directly. Old stage tags left on contacts are
frozen and safe to remove. See AutoSync tags.
Service Lines
Multi-service studios can turn on Service Lines — each offering (Functional Fitness,
Recovery, HYROX, and so on) gets its own folder of ⇌ contact fields: per-line status,
membership name and dates, visit counts, trials, and milestones. A contact can be a Member in one
line and a Trial in another at the same time, and the lifecycle pipeline keeps tracking the
overall relationship alongside. Full details: Service Lines.
Prerequisite
The pipeline with its 9 stages must exist in HighLevel first — it's installed by the AutoSync snapshot (HighLevel has no API to create pipelines automatically). If the pipeline is missing, the Settings page shows the exact name and 9-stage list to create.
