Visit tracking

AutoSync tracks attendance on every contact — first visit, last visit, next visit, and lifetime totals, built from your platform's full visit history. You choose whether appointments and classes count together as one "visit" or as separate counters.

What counts as a visit

One rule, applied everywhere — live events and history, classes and appointments alike: a visit means they showed up. Arrived, checked-in, and completed bookings count; no-shows and late cancels don't (they still exist in the history — they just don't inflate the count). Both appointments and classes count, including appointment-based services like recovery sessions and consultations.

Why your platform's own number can read higher: Mindbody's "Visits" count, for example, counts every visit record — including no-shows and late cancels. So a member with 1,633 in Mindbody and 1,506 in ⇌ Visit Total isn't out of sync: the difference is exactly their no-shows and late cancels. Same data, two definitions — your platform counts bookings kept on the books, AutoSync counts times they actually came. That's the number your milestone and win-back automations should run on.

The three modes — Settings → Visit Tracking

Pick the mode on the Settings page (Main tab → General Sync Settings → Visit Tracking):

Switching modes shows a confirmation because it changes which fields AutoSync maintains — and switching never deletes data: the visit history stays, and the fields for your new mode are recomputed from it. All of these fields are listed in the custom fields reference.

How counts are kept accurate

AutoSync ingests your platform's complete visit history — every class and every appointment, back to the beginning — and then keeps it live as bookings complete. Totals are always recomputed from that history rather than nudged up and down, so they self-heal: Next Visit comes from upcoming bookings, Last Visit from the most recent attended one, and the rolling 30-day counts from the trailing window.

Most studios should stay on Visits mode. Choose Both when appointments and classes are genuinely different behaviors in your marketing — e.g. training classes vs. recovery appointments — and you want to automate on each separately and keep the combined number.
